ADVERTISEMENT FOR THE VACANT POSITION OF PERSONAL ASSISTANT TO THE CEO

Reporting to the CEO the incumbent is responsible for providing excellent executive administrative support to the CEO. This will include management of a demanding schedule that involves handling phone calls, correspondence as well as being able to multitask in a dynamic business environment working well under pressure to meet tight deadlines.

KEY RESULTS AREAS 

  1. Is responsible for maintaining the CEO's diary, itinerary and events, conferences, meetings and workshops coordination;
  2. Undertake logistical arrangements for Board and Management Committee meetings and maintenance of requisite documentation(Minutes and Reports) and timely circulation  of agenda, minutes and reports as directed by the CEO;
  3. Manage correspondence (mail, calls, emails and packages) to the CEO’s Office as appropriate;
  4. Receive visitors to the CEOs office and manage the visitors’ book.
  5. Initiate procurement process for the administration department.

JOB REQUIREMENTS: 

Experience and qualifications required:

  • BA in Business Management with an inclination to Office Practices/Or a Diploma in Business Management with an inclination to Office Practices; 
  • At least 3-5 years experience as a PA in a reputable firm;
  • Exceptional computer skills
  • High levels of professionalism and integrity and a team player; 
  • Excellent leadership, organizational and people management skills; 
  • Outstanding public relations, verbal and written communication, negotiation and reporting skills;
  • Maturity in handling a range of situations
  • Ability to work independently, meticulous and thorough and able to meet tight deadlines and work under pressure
  • Loyalty and high level of confidentiality

 

The position is on a three - year renewable performance based employment contract.
